Data Capture has many uses and is being used increasingly more and there’s obviously good reason for this, so what are the advantages of data capture?

Data capture is used for gathering information from forms that people fill in such as surveys, feedback forms and application forms in order to get a good idea of people’s opinions, thoughts and credentials quickly and without the hassle of doing it manually yourself. This of course saves you time, resources and gives you the information you need quickly. Often companies that perform this type of capture will also send your results back in a clean format so it’s easier to look through the results and assess them. They could come back as graphs for yes or no questions for example or bar illustrations for check boxes, which can make life considerably easier and can make them usable in presentations if so required.

Data capture can also be automated by specialist capture companies using their specially developed software to capture information on whatever part of the sheet that the data needs to be captured from. This is possible for most font types and general fonts from the last hundred years or so should be able to be captured with relative ease, however handwriting is usually an issue for data capture software and will need to be entered by hand. This will more than likely cost more due to addition to time, however this is an essential process if you need hand written data that has been filled in.

For the most part data capture can be completed very quickly also if most of the forms have been filled in by using check boxes or multiple choice questions because data capture companies can usually specify the exact areas that the software needs to capture and this process can be completed quite quicker after the initial scanning considering the quantity of your forms.

For the most part data capture software can detect different languages so, for example, if you have a form which has been filled out in both English and Welsh sections, the software should have no problem extracting both languages if it is capable.

So speed is a major asset in the advantages of data capture but there is also the aspect of cost. Because a lot of the capture can be automated, again dependent upon how much of your form is hand written and how much is multiple choice, this is a process that can usually be completed quite quickly which means the cost should be lower for you which means that the overall cost and convenience comparing a member of staff completing the work or a professional company finishing the work much quicker and presenting it in a more presentable format will more than likely end up as less of a cost to the latter, in both terms of time consumed for your staff member and monetary cost to you.
